How do I add compliance requirements to an Order?

Pre-configured requirements appear on an Order automatically; if not, add traceability and evidence requirements yourself.

Compliance requirements are the checks you choose to track on an Order in OriginsNext. If requirements are pre-configured for the Order's origin country and commodity (HS code), they appear on the Order's Compliance tab automatically. If not, you add them yourself. There are two types of requirement, and both are optional: you can set either, both or neither.

Requirement type

What it does

Traceability requirement

Checks that every product in the Order can be traced back to a location type you choose.

Evidence requirements

Lists the Evidence you want to collect for the Order, such as certificates or documents, each based on an Evidence Template.

Pre-configured requirements

Pre-configured requirements are a starting point. If requirements are pre-configured for the Order's origin country and commodity (HS code), OriginsNext adds them to the Order automatically. You decide whether they fit your circumstances: you can add, change or remove requirements on each Order, and your organisation can create its own Evidence Templates when the pre-configured ones do not suit it.

To create your own templates, see How do I add an Evidence Template?

Where to add or edit requirements

You add or change an Order's requirements in the Add order compliance requirements window. You can open it in two places:

  • While you create an Order on the full form, click Create order and add requirements.

  • On an existing Order, go to the Compliance tab and click Edit on the Order compliance requirements panel. The window opens as Edit order compliance requirements, so you can add, change or remove requirements at any time.

For the Order form, see How do I create an Order?

Add a traceability requirement

A traceability requirement makes OriginsNext check that every product in the Order can be traced back to a location type you choose. The check follows each product's journey upstream, including bulk transformations, and shows any product that cannot be traced back yet.

  1. In the Traceability requirement section, open Trace back to.

  2. Choose the location type, for example Farm, Fishery, Mine, Warehouse or Port. The list shows the location types in your registry.

  3. Click Save, or carry on and add evidence requirements first.

Add evidence requirements

Evidence requirements list the Evidence you want to collect for the Order. Each one is based on an Evidence Template. To add evidence requirements:

  1. In the Evidence requirements section, search the list of Evidence Templates. Each template shows its Name and its Issuer, the organisation that defined it.

  2. Tick Add for each template you want on the Order.

  3. Optionally, tick Counterparty can generate so the other party to the Order can produce that Evidence, for example a supplier's own certificate.

  4. Click Save.

To remove a requirement later, open the window again with Edit and untick it.

How requirements appear on the Compliance tab

On the Order's Compliance tab, the requirements are listed on the left and the selected requirement's details are shown on the right. The tab helps you work through long lists:

  • Use the search box to find a requirement by name.

  • Use the All, Incomplete and Required chips to show every requirement, only those not done yet, or only required ones.

  • Supporting requirements are shown in numbered groups, in the order the Evidence Template sets. Requirements with no group are listed under Other requirements.

  • An Optional badge marks a supporting requirement that the template makes optional. An unmet optional requirement is still listed, but it does not affect the Order's compliance status.

  • Each requirement shows an x/y count of what is done, for example 2/3 supporting requirements complete or 4/5 locations complete.

Each evidence requirement also shows its status, for example Action required, and a Generate button to produce the Evidence in OriginsNext.

Requirements and the Order's status

An Order's requirements feed into its status. You decide when the Order is ready: a report can be generated while some items are still outstanding, and optional requirements can be left unmet. Status labels describe the platform's own checks, not whether the Order meets any regulation.

Note: The traceability requirement and the evidence requirements are independent. You can add, change or remove either one on its own with Edit on the Compliance tab.

For what each status means, see What do the Order statuses mean? To see the Evidence behind each requirement, see How do I view Evidence linked to an Order?
