An Order's status is calculated automatically; nobody sets it by hand. It combines two things: how much of the ordered product has been allocated, and how many of the Order's compliance requirements are done. Once an Order is Complete, a follow-up badge can be added, for example to show whether it has been shared. The status appears on the Orders list and at the top of each Order.
What drives the status
The status is worked out from two measures:
Product allocation: whether none, some or all of the Order's product types are allocated.
Compliance: how many of the Order's requirements are done. A requirement is done when it has Approved evidence that has not been archived. Evidence that is still pending, or has been archived, does not count.
Two more rules apply to the compliance side:
New Orders start with evidence required. If evidence is marked as not required for an Order, the compliance side counts as fully done.
If the Order has a traceability gap requirement, it counts as one more requirement. It is done when none of the Order's products has a traceability gap.
When evidence is required, an Order with no requirements at all counts as none done.
Note: Everyone who can see the Order sees the same status. Only the follow-up part of a Complete badge can differ, depending on your organisation's role on the Order.
The statuses you may see
The status is the combination of the two measures:
Products allocated | No requirements done | Some requirements done | All requirements done |
None | Pending data | Pending products | Pending products |
Some | Pending compliance | In progress | Products in progress |
All | Pending compliance | Compliance in progress | Complete |
The dot next to the status shows how far along the Order is: green for Complete, amber for In progress, Compliance in progress and Products in progress, and red for the other statuses.
Status | What to do next |
Pending data | Allocate products and work on the Order's requirements. |
Pending products | Allocate products. You often see this on a new Order that has no products allocated yet and evidence marked as not required. |
Pending compliance | Products are allocated. Work on the requirements on the Compliance tab, or add requirements if the Order has none. |
In progress | Keep allocating products and completing requirements. |
Compliance in progress | All products are allocated. Complete the remaining requirements. |
Products in progress | All requirements are done. Finish allocating products. |
Complete | All products are allocated and all requirements are done. |
What Complete means
Complete means the Order's allocation and requirements are done in OriginsNext. You decide when an Order and its reports are ready: a report can be generated while some of its supporting items are still outstanding, because some requirements only apply in certain situations. Complete reflects the platform's own checks; it is not a statement that the Order meets any regulation.
Follow-up badges on Complete Orders
When an Order is Complete, the badge can add a follow-up, for example Complete · Not shared. Which follow-up you see depends on your organisation's role on the Order:
Badge | Who sees it | What it means |
Complete · Not shared | The organisation that created the Order | The Order has not been shared manually with anyone. Automatic sharing rules do not count. |
Complete · Not viewed | The organisation that created the Order | The Order has been shared, and at least one organisation it was shared with has not opened it yet. |
Complete · Viewed | The organisation that created the Order | Every organisation the Order was shared with has opened it. |
Complete · Not submitted | The buyer or seller, if they did not create the Order, on an Order with EUDR requirements | At least one EUDR requirement does not have a filed statement yet. |
Complete · Submitted | The buyer or seller, if they did not create the Order, on an Order with EUDR requirements | Every EUDR requirement has a filed statement. |
Complete | Anyone else, or any Order without EUDR requirements | No follow-up applies. |
For the submitted badges, OriginsNext looks at the latest statement for each EUDR requirement, ignoring discarded ones. A statement counts as filed when its status is Waiting for TRACES, Accepted, Locked or Archived. Any other status, for example Sending, Failed, Not accepted, Rejected, Withdrawn or Replaced, counts as not submitted.
Note: If your organisation created the Order and is also its buyer or seller, you see the sharing badges only.
On the Orders list, the Follow-up column lets you filter Orders by these follow-up values.
The status moves automatically, in both directions
Because the status is calculated, it changes by itself as the Order changes. Allocating products or getting evidence approved moves it forward; removing an allocation or archiving evidence moves it back. A Complete Order can return to an earlier status. There is no locking, no final or closed state, and no approval, accept or reject step for the Order itself.
Order Stage is a separate, manual setting
Order Stage is not the same as status. Stage records where the shipment is (Created, Packed, Dispatched, Received), and you set it yourself: on the Order Overview, click Update stage, choose a stage and click Update stage again. Stage has no rules, so you can choose any stage in any order. Setting Dispatched records a dispatch time. Only users with edit rights on the Order can change the stage.
