An Evidence Template defines the structure of a certification, accreditation scheme or document: what it applies to, the data each Evidence captures and the checks it records. Some ecosystems come with pre-configured templates. If they do not suit your organisation, you can create your own: you decide what your requirements are, and OriginsNext collects the data you set up. Templates are created once and reused across many Evidence records and Order compliance requirements.
Note: Templates are shared across your organisation and can be made available to other onboarded participants.
Add an Evidence Template
To add an Evidence Template, go to Evidence Tracking > Templates and click + Add evidence template. Complete the form:
Evidence details: the Evidence template name; the Evidence template type, which sets what the Evidence can be applied to (Organisation, Location, Product Template, Product, Mixed or Order); the Evidence category; the Issuer; and the Template visibility (for example, Public).
Evidence data: use + add data field to set the data fields each Evidence captures. In Declaration block text, you can enter a declaration statement that appears when an Evidence is generated from this template.
Evidence modules: use + add module to set the modules (checks) that can be achieved on each Evidence.
Supporting evidence requirements (Order templates): the extra checks OriginsNext runs on an Order that uses this template. See the next section.
Evidence image (optional): an image displayed with each Evidence.
Click Add template to create it.
Supporting evidence requirements for Order templates
An Evidence Template for Orders has a Supporting evidence requirements table. Each row is an extra check that OriginsNext runs at Order level when the template is used as an Order compliance requirement. The table has these columns:
Column | What it sets |
Order | The position of the requirement in the list. Use Move up and Move down to change it. |
Group | A group name, for example Harvesting. Requirements that share a group are listed together under its name on the Order's Compliance tab. |
Optional | Whether the requirement is optional. An unmet optional requirement is still listed on the Order, but it does not affect the Order's compliance status. |
Applied to | What the check looks at in the Order's supply chain, for example locations, participants or products. |
Supporting evidence | The Evidence the check looks for. |
Check against | Which items are checked, for example Input products or Ordered and input products. |
When you add or edit a supporting requirement, you also choose its Requirement type: Subject coverage checks the locations, participants or products reached through the Order, and Document template asks for a document attached to the Order itself, such as a bill of lading. Click Add requirement to save it, or Save and add another to add the next one.
For how these requirements appear on an Order, see How do I add compliance requirements to an Order?
Edit an Evidence Template
To edit an Evidence Template, open it from the Evidence Templates list and make your changes. If it is already linked to existing Evidence records, you are asked to choose one of these options:
Template only: creates a new template with your changes. Existing Evidence, Order requirements and supporting requirements keep using the current template.
Update all: applies your changes to the current template and all linked Evidence. Existing Order and supporting requirements use the updated template. Evidence modules you changed must be assessed again manually.
Important: Editing a template can change how new and existing Evidence is displayed and validated across the system. Review linked records before applying broad changes.
