How do I allocate products to an Order, including manual batches?

Allocate products on an Order's Products tab from existing inventory, or record where they were processed and where the inputs came from.

Allocating products assigns the actual products that fulfil each line of an Order. Products can be linked to an Order automatically through traceability events, for example when goods are packed against the Order, or you can allocate them yourself from the Order's Products tab. How you allocate depends on your ecosystem: some ecosystems select from existing inventory, and others, such as WoodFlow EUDR, record where the products were processed and where their inputs came from.

The Products tab

The Products tab of an Order shows what was ordered and what has been allocated. The Products ordered panel lists each product type with its ordered quantity and how much is allocated, for example 100% allocated. Select a product type to see its allocations in Allocations: <product>, with the Product ID, Created Date, Product Location and Inventory of each, and the running totals Total products allocated and Total Quantity.

Allocate from existing inventory

To allocate from existing inventory, select the product line on the Products tab and click Allocate products. The Allocate <product> window offers two ways to allocate:

Mode

When to use it

Select inventory

Use when the products already exist in OriginsNext. Search your available inventory and tick the products to allocate. Each row shows the Product ID, Product Location, the quantity Available and the Allocation.

Record manually

Use when the products do not exist in OriginsNext yet. Enter a Location and a Quantity to record a batch quantity against the Order. This marks the quantity as allocated without creating individually tracked products.

Confirm with Allocate products. You can reopen the window to allocate more, and remove an allocation later.

Important: This method does not currently allocate bulk inventory. Bulk inventory is allocated through traceability events instead.

Record where products were processed and sourced

In ecosystems that record processing and sourcing, such as WoodFlow EUDR, the Allocate products window asks where the ordered products were made and where their inputs came from. It opens automatically after you create an Order, and you can reopen it with Allocate products on the Products tab.

To record processing and sourcing:

  1. Under Where the products were processed, for each ordered product choose the Processing location (for example a mill), the Processed on date and the Output quantity. Click + Add processing location if the products were processed at more than one place.

  2. Under Where the inputs came from, choose the Origin location (for example a forest), the Input product, the Sourced on date and the Quantity.

    • The Input product starts as the ordered product. Change it when what left the origin is different from what was sold, for example logs harvested and then sawn into dressed timber. When you choose a different input product, also choose its Unit.

    • If you added more than one processing location, choose where each input went in Processed at.

    • If you have the purchase invoice for a batch, click Attach invoice in the Purchase invoice column. The invoice is saved as evidence on that batch, valid from the Sourced on date. Invoices attached shows how many rows have an invoice.

    • Click + Add origin location for each extra origin. Sourced quantity shows the total recorded so far.

  3. Click Allocate and record.

OriginsNext records the products and their journey, allocates them to the Order and opens the Compliance tab so you can work on the Order's evidence.

To change an allocation: reopen Allocate products. A product that is already allocated shows Allocated, with the quantity and where it came from, for example "25 m³ allocated, From Solida Rio Negrinho Mill". Click Remove allocation to clear it, then record the processing and sourcing again.

Note: A processing location shows "No inputs are sent to this location yet" until at least one origin is recorded against it. Add an origin under Where the inputs came from to clear it.

Check compliance before allocating

Before you allocate from existing inventory, you can check which inventory meets the Order's compliance requirements on the Scenarios tab.
