An export shipment or consignment is recorded in OriginsNext as an Order. To review one as a regulator in the Australian Wildlife Traceability System (AWTS), open it from the Orders List and work across its tabs: the Overview tells you who is shipping what to whom, the Compliance tab holds the paperwork, and the Products tab lists the individual specimens allocated to it. This article covers that review.
Find the shipment
To find the Order you want to review:
Go to Order Compliance > Orders to open the Orders List. Each row shows the Sales Order ID, Seller, Buyer, Departure, Destination, Order Created date and Status, alongside a map of the route.
Use the search box to find an Order by text, for example a Sales Order ID.
Or add a filter to narrow the list, for example by Seller to see one fisher's shipments, by Buyer to see one importer's, or by Status or date range.
Click the row to open the Order.
For what each status means, see What do the Order statuses mean? For the list itself, see How do I view and find my Orders?
Note: You can also reach a fisher's recent shipments from their Participant record, on the Recent orders card of their Overview tab.
What each tab of an Order tells you
An Order opens on its Overview, with the rest of its detail split across tabs. As a regulator these are the tabs you will use:
Tab | What it answers |
Overview | Who is selling to whom, where the goods leave from and go to, when the Order was created, and its current status. |
Compliance | The paperwork: the Order's compliance requirements, the Evidence that satisfies each one, and the Specimen Export Record (SER). |
Products | What was ordered against what has actually been allocated, and the individual specimens making up the shipment. |
Locations | The route and the sites the goods passed through, shown as a journey flow diagram. |
Participants | Everyone who owned or handled the goods, derived automatically from the recorded history. |
Check the paperwork on the Compliance tab
The Compliance tab is where the shipment's paperwork lives. The left panel lists the Order's compliance requirements with their status; select a requirement to see the Evidence that satisfies it on the right. For each Evidence record you can see what it is Applied to, its Evidence ID and created date, the Participant Details (Issued by, Participant Address, Participant ID), any Evidence Data fields, and the Supporting documents attached to it. Use Download or View to open a document.
For an Order's Evidence, see How do I view Evidence linked to an Order? For what the statuses mean, see What do the Evidence status labels mean?
Check the Specimen Export Record
A Specimen Export Record (SER) is the compliance record generated for an Order, and it also lives on the Compliance tab. Where one has been generated, it shows who it was issued by, the Buyer details, an Evidence Data section, and the Products it covers with their CITES source code and their ordered and actual counts. An Export Declaration Number can be recorded against it. Click Download to download or print the SER.
For the SER, see How do I generate, view and share an SER for an Order?
Check the specimens on the Products tab
The Products tab shows what was ordered against what has actually been allocated to fulfil it, which is how you confirm a shipment's contents. The Products ordered card lists each product type with its CITES source code, the ordered quantity and its allocation state, for example None allocated, partially allocated or fully allocated. Select a product type to see its Allocations below, each with the Product ID, Created Date, Product Location and Inventory, plus a summary of the total allocated, the percentage allocated and the total quantity. Click through a Product ID to open that specimen's full record.
Note: Tagged captive-bred (C) coral is allocated from tracked inventory, so each specimen appears individually. Wild (W) coral is not tracked as individual specimens, so it is recorded as a manual quantity against the Order instead and will not have individual Product IDs.
For how coral is allocated by source code, see How do I allocate coral to an Order (W, F and C)? For the tab itself, see Where do I view the Products allocated to an Order?
Check who handled the shipment
The Participants tab lists everyone connected to the Order. It is built automatically from the recorded ownership and custody history of the specimens allocated to the Order, so nobody is tagged by hand, and it fills out as specimens are allocated. Three views filter the same list: Ownership history shows the legal owners only, Full chain of custody shows everyone who physically held the goods including transporters, and Custody ex transport shows the same but excludes the transport legs.
For the three views, see What do the order participants Ownership, Custody and Full chain of custody tabs show? For the route diagram, see How do I read the Order journey flow diagram?
