How do I configure supporting requirements on an Evidence Template?

Add supporting evidence requirements to an Evidence Template to set the grouped checks OriginsNext runs on each Order that uses it.

Supporting evidence requirements are the individual checks inside an Evidence Template that is used on Orders, for example a harvest authorisation for each origin Location, or a bill of lading attached to the Order. You set them in the Supporting evidence requirements table of the Evidence Template. When the template is a requirement on an Order, OriginsNext checks each supporting requirement at Order level and lists them, in groups, on the Order's Compliance tab.

Supporting requirements and evidence modules

An Evidence Template can have both evidence modules and supporting evidence requirements. They do different jobs:

Evidence modules

Supporting evidence requirements

What they check

The modules (checks) that can be achieved on each individual Evidence.

Other evidence or documents across the Order's supply chain, when the template is used as an Order requirement.

Where you see them

On the Evidence itself.

On the Order's Compliance tab, with a count of what is complete.

Where you set them

Evidence modules, with + add module.

The Supporting evidence requirements table.

Open the Supporting evidence requirements table

To find the table, go to Evidence Tracking > Templates. Click + Add evidence template to create a template, or open an existing template to edit it. The Supporting evidence requirements table is part of the template form for Evidence Templates used on Orders.

Add a supporting requirement

To add a supporting requirement:

  1. In the Supporting evidence requirements table, add a new requirement. The Add supporting evidence requirement window opens.

  2. Choose the Requirement type: Subject coverage checks the Locations, participants or products reached through the Order; Document template asks for a document attached to the Order itself, such as a bill of lading.

  3. Set Applied to: what the check looks at in the Order's supply chain, for example Locations, participants or products.

  4. Choose the Supporting evidence: the Evidence the check looks for.

  5. For products, set Check against: Ordered products, Input products (the products that went into the ordered products) or Ordered and input products.

  6. Optionally, enter a Group and tick Optional if the requirement can be left unmet.

  7. Click Add requirement, or Save and add another to add the next one.

Order and group the requirements

The table's order and groups decide how the requirements are listed on an Order:

  • Order: the position of the requirement in the list. Use Move up and Move down to change it.

  • Group: requirements that share a group name, for example Harvesting, are listed together in a numbered group on the Order's Compliance tab, in the order you set. Requirements with no group are listed under Other requirements.

  • Optional: the requirement is listed with an Optional badge. An unmet optional requirement does not affect the Order's compliance status.

How supporting requirements appear on an Order

On the Order's Compliance tab, each supporting requirement shows a count of what is complete for the things it applies to, for example 0 out of 1 locations complete, 1 out of 2 participants complete or 0 out of 1 products complete. A document requirement on the Order shows a simple count such as 0/1.

Important: If the template is already linked to existing Evidence, saving your changes asks whether to apply them to the template only or to all linked Evidence. Review linked records before applying broad changes.

Note: Supporting requirements record what your organisation chooses to check. Their statuses describe the platform's own checks, not whether an Order meets any regulation.
