How do I know if my shared Order was viewed, and how do I notify someone again?

Check the Sharing tab and the Complete follow-up badge to see if a shared Order was opened, and use Notify to tell people again.

After you share an Order, OriginsNext shows whether each organisation you shared it with has opened it, and lets you notify people at that organisation again. You check this on the Order's Sharing tab, on the Order's status badge once the Order is Complete, and on the Order's History tab.

Check whether an organisation has opened the Order

To see whether a shared Order has been opened, open the Order and select the Sharing tab. Each organisation the Order is shared with has its own entry, which shows:

  • what that organisation can see, for example Everything;

  • whether it has opened the Order: the entry shows Not opened yet until someone at that organisation opens it;

  • who was notified, for example Nobody notified.

Check the follow-up badge on a Complete Order

If your organisation created the Order and the Order is Complete, its status badge adds a follow-up about sharing:

Badge

What it means

Complete · Not shared

The Order has not been shared manually with anyone yet.

Complete · Not viewed

The Order has been shared, and at least one organisation it was shared with has not opened it yet.

Complete · Viewed

Every organisation the Order was shared with has opened it.

On the Orders list (Order Compliance > Orders), use the Follow-up column to filter Orders by these values, for example to find every Complete Order that has not been viewed yet.

For every status and follow-up badge, see What do the Order statuses mean?

Notify people again

Notify sends a notification about the share to people at an organisation the Order is already shared with, including people you have notified before. To notify people again:

  1. Open the Order and select the Sharing tab.

  2. Find the organisation's entry and click Notify.

  3. Pick people from your contacts at that organisation, or type an email address.

  4. Send the notification.

People who have an OriginsNext account receive an email. Any new email address you type is saved as a contact for that organisation, so you can pick it next time. You can also notify people when you change what an organisation can see: the Edit access panel has its own Notify people field.

Note: People who do not have an OriginsNext account yet are added too: the OriginsNext support team helps them onboard, and they can open the Order once their account is set up.

See sharing on the History tab

Sharing actions are also recorded on the Order's History tab, for example Order shared, so you can see when the Order was shared.

To share an Order or change what an organisation sees, see How do I view and manage the Sharing permissions in an Order? For the full activity log, see Where can I see a history of Order changes?
