A Participant is an organisation you work with, such as a supplier, buyer or regulator. You add Participants to your ecosystem so you can use them in Orders, Events, Evidence sharing and compliance workflows. You add a Participant in the Add participant drawer, which has two steps: first the Participant, then its Locations.
Where to add a Participant
You can open the Add participant drawer from the Participants list or from a form:
On the Participants list (Ecosystem Registries > Participants), click Add participant. This is a split button: its menu offers presets such as Add supplier and Add buyer, which set the relationship for you.
While you fill in a form, for example when you create an Order, add a new participant from the search field without leaving the form.
Some ecosystems add shortcuts to the Home screen. For example, in WoodFlow EUDR the Manage suppliers and their forests tile opens the Participants list filtered to suppliers, and Add supplier opens the same drawer.
For the list itself, see How do I view and search the Participants list?
Step 1: Search for the Participant by business ID
In the first step, search for the organisation by its business ID. This checks whether it is already in the registry and helps prevent duplicates:
Choose the ID type: ABN, ACN, CNPJ, GLN or Other.
Enter the ID. You can type or paste it with its usual formatting: dots, slashes and hyphens are removed automatically, so a CNPJ entered as 12.345.678/0001-90 is searched as 12345678000190.
Click Search ecosystem. Only exact matches are returned.
What happens next depends on the result:
A match is found: click Use this participant to link the existing participant.
Already connected: the drawer says you are already connected to this participant, so it can be used straight away.
This is your own organisation: you cannot add your own organisation as a participant. Search for a different business ID.
No match: click Create a new participant and fill in its details, as described below.
For how IDs are formatted, see Using IDs in OriginsNext
Create a new participant
If no match is found, click Create a new participant and complete the form:
Business ID type and Business ID: the business ID you searched for, such as a CNPJ. Click + Add another ID to add more identifiers.
Name.
Address: search to auto-fill it, or click Enter manually instead.
Relationship: how the participant is connected to your organisation, with a Relationship type and the Nature of relationship (Direct by default).
Click Show additional fields to add the Participant Type (organisation or individual), Legal Name, Organisation contact details (email, phone number, website and description) and a Primary contact person (name, email and phone number). To go back to the ID search, click Back to search. When you are ready, click Save and continue to save the participant and move to the Locations step.
Step 2: Add the participant's Locations
The Locations step opens once the participant exists. In it you add the sites the participant operates, such as farms, forests, mills or warehouses:
Under Find an existing location, search by ID to link a Location. Not all of a participant's Locations are visible to you, so search by the ID of the one you trade with.
Or click Create a new one, fill in the Location and click Save location.
Click Add another location to add more, then click Finish.
The drawer saves as you go. You can also add Locations later from the Locations tab of the participant's details.
For the Location form, see How do I add a Location?
The relationship
The relationship records how the participant is connected to your organisation, for example as a supplier or a buyer. If you started from a preset such as Add supplier, the relationship is set for you. You can change or remove it later.
For relationship types, see How do I set or remove a Participant relationship?
