An Order records a coral sale from end to end: who is buying, where it is going, what is on it, and the paperwork that has to travel with it. You create the Order on the desktop platform in a web browser, then add the actual specimens either on the desktop or out at the tanks using the AWTS mobile app. This article walks the whole sequence.
Before you start
Before you create the Order, the buyer needs to exist as a Participant and the destination needs to exist as a Location. Add them first if they do not.
To set the buyer and destination up, see How do I add a buyer to my ecosystem? and How do I add a buyer's location for my Orders?
Step 1: Create the Order on the web
To create a coral Order:
Go to Order Compliance > Orders.
Click + New order.
Under Order Details, choose Sales Order, because you are the one selling. Select the buyer as the counterparty, enter your Sales order ID, set the Order date, and choose the contract terms.
Under Logistics Details, set the Departure location to your facility and the Destination location to the buyer's premises. Add the estimated departure and arrival dates and the transportation method if you know them.
Under Product Details, choose the product type for the coral you are selling and enter the quantity.
Click Create order, or Create order and add requirements to go straight into setting up the paperwork the Order needs.
For every field on the form, see How do I create an Order?
Step 2: Add the coral
How you add the coral to the Order depends on whether it is tagged.
Captive-bred (C source) specimens are tagged and already exist as Products. Open the Order's Products tab, click Allocate products, choose Select inventory and tick the specimens you are shipping.
Wild (W source) coral is not tagged as individual Products. Choose Record manually instead and enter a Location and a quantity to record the batch against the Order.
You can also do this in the field on the AWTS mobile app by packing the Order against the tanks, which is usually faster than working from a list.
For allocating on the web, see How do I allocate products to an Order, including manual batches? For allocating by source code, see How do I allocate coral to an Order (W, F and C)? For packing in the field, see How do I pack an order on the AWTS mobile app?
Step 3: Generate the Specimen Export Record
To generate the Specimen Export Record (SER), open the Order's Compliance tab. Once generated it shows the issuer, the buyer, the evidence and the products with their source codes and counts. If anything about the Order changes afterwards, select Regenerate so the SER matches. You can record the Export Declaration Number against it and use Download to print it.
For the SER, see How do I generate, view and share an SER for an Order?
Step 4: Add the Health Certificate and any other paperwork
Add the documents the destination country requires from the same Compliance tab.
For the Health Certificate, see How do I add a Health Certificate to an Order?
Step 5: Share it with your buyer
To share the Order with your buyer, open its Sharing tab and grant them access. They can then see the Order and the generated SER without you having to email anything.
For sharing, see How do I view and manage the Sharing permissions in an Order?
What the regulator sees
Your regulator does not see everything about the Order by default. What they can see is decided by the species they regulate, not their job title.
For regulator visibility, see What can a regulator see about a participant and its products?
