How do I request that my User Account and data are deleted?

How to request deletion of your OriginsNext User Account and associated data, and what is deleted or kept.

You can ask for your OriginsNext User Account and its associated data to be deleted. Deleting your User Account revokes your access and removes your personal account data, apart from data that must be kept for legal and traceability reasons, as described below.

Request that your User Account is deleted

To request that your OriginsNext User Account and associated data are deleted, follow the step that applies to you:

  1. If your User Account was set up by an organisation Administrator, contact your Administrator in the first instance and ask them to delete your User Account. An Administrator can delete a User from the Users tab in Settings.

  2. If you are the Administrator of your organisation, or you do not have an Administrator, email [email protected] from the email address on your User Account and ask for your User Account and associated data to be deleted.

To help us find and verify your User Account, include the email address on your User Account and your organisation name in your request.

For the Administrator steps to remove a User, see How do I remove a user from my organisation?

What data is deleted or kept

When your User Account is deleted, your personal account data is removed and your access is revoked. Some data may be kept for legal, compliance and traceability reasons, as set out below.

Data

What happens to it

Personal account data (name, email and account settings)

Deleted, and your access is revoked.

Records you created that were shared with other organisations as permissioned data, and any data written to the immutable ledger that underlies the platform

May be kept. This data cannot always be amended or deleted once it has been shared or recorded.

Data we are legally required to keep

Kept for a reasonable period to meet our legal obligations, then removed.

Important: Some traceability records and data shared with other organisations cannot be deleted, because other parties rely on them and some records are written to an immutable ledger. Your personal account data that is not subject to these rules is deleted.

How long we keep data and your data rights

We keep information for as long as needed to provide the platform, and for a reasonable period afterwards to meet our legal obligations, after which it is removed. For full detail of what we collect, how long we keep it and the data rights available to you, see our Privacy Policy.

For the full detail of what is collected, retention periods and your data rights, see the OriginsNext Privacy Policy.

Note: If you only need to pause access temporarily rather than delete a User Account, an Administrator can suspend a User instead of deleting them.
